| Changing the Default Fiscal Year in EMERS |
| From the Main EMERS Wizard |

- Select #6 - System Functions, and click "Next"
- Select #1 - Select School District, and click "Next"
- Highlight your school district name, then click "Change"
- Click on the "Payroll" tab across the top of the screen
- Use the arrow up key to change the “Default Year”
- Once the fiscal year has been changed, it cannot be changed back to the previous fiscal year
- Click the "OK" button at the bottom of the screen
- Then click “Select” to return

| Create a Member Work File by Copying From Current or Prior Year |

- Select #5 - Explore Information, and click "Next"
- Select #2 -Members, and click "Next"
- Select #2 - Member Work File, and click "Next"
- Select #1 - Create, and click "Next”
- Select #1 - Copy from Current or Prior Year, and click "Next"
- Check the box - “Include Only Members With Problems,” and click "Next"
- This should bring you back to the Member Work File Options window
- Select #2 - Edit, and click "Next"
- You should now be at the Browse the Member Work File window and the only members listed should be those with missing information.
- Highlight the member’s name
- Errors are shown in the bottom left of the window
- Either double click on the member or click on the "Change" button
- Input the missing information and click “Ok”
- After the missing information has been entered on all the members in the work file, click on the "Close" button in the Browse the Member Work File Window
- Select #3 - Finish, and click "Next"
- This will complete the Member Work File
- Click “Yes” to finish the work file, if you select “No” the information will not be ready to transmit
- Click “Yes” to transmit this information
- Select #1 –Transmit and click "Next", and follow through as you would to transmit payroll
- Click “No” to return to the Main EMERS Wizard
- the information will be sent with your next transmission |
| Create a Member Work File by Importing From a File |

- Select #5 - Explore Information, and click “Next”
- Select #2 - Members, and click “Next”
- Select #2 - Member Work File, and click “Next”
- Select #1 - Create, and click “Next”
- Select #2 - Import From a File, and click “Next”
- Click on the "Look Up" button, and select your Annual Base Import file, and click “Next”
- This creates a work file containing the Annual Base Salaries for your members.
- Select #2 - Edit, and click “Next”
- Annual base information can be entered and changed by in-line editing on the “Browse” screen
- Once the Annual Bases are correct, you will need to post the work file by:
- Click “Close”
- Select #3 - Finish, and click "Next"
- This will complete the Member Work File
- Click “Yes” to finish the work file, if you select “No” the information will not be ready to transmit
- Click “Yes” to transmit this information
- Select #1 –Transmit and click "Next", and follow through as you would to transmit payroll
- Click “No” to return to the Main EMERS Wizard
- the information will be sent with your next transmission |
| Create a Manual Member Work File |

- Select #5 - Explore Information, and click “Next”
- Select #2 - Members, and click “Next”
- Select #2 - Member Work File, and click “Next”
- Select #1 – Create, and click “Next”
- Select #3 - Manual, and click “Next”, and then “Next” again
- Click on the “Insert” button
- Enter the new employee information OR
- Use the look-up function to select an existing employee
- You should now be at the Browse the Member Work File window and the only members listed should be those with missing information.
- Highlight the member’s name
- Errors are shown in the bottom left of the window
- Either double click on the member or click on the "Change" button
- Input/Update the necessary information and click “Ok”
- After the information has been entered, click on the "Close" button in the Browse the Member Work File Window
- Select #3 - Finish, and click "Next"
- This will complete the Member Work File
- Click “Yes” to finish the work file, if you select “No” the information will not be ready to transmit
- Click “Yes” to transmit this information
- Select #1 –Transmit and click "Next", and follow through as you would to transmit a payroll
- Click “No” to return to the Main EMERS Wizard
- the information will be sent with your next transmission

| Create Manual Correction Batch |

- Select #2 - Edit Work File, and click "Next"
- Select #1 - Create, and click "Next"
- Select #2 - Manually Enter, and click "Next"
- Input the following:
- Batch Name
- Start Date
- End Date
- Click on the Correction Box and then click "Next"
- Click on the "Insert" button
- You can either type in the Social Security Number or click on the look-up button, highlight the member being corrected (you can use Social Security Number or Last Name tab to locate the member) and click on the "Select" button.
- Verify that you have selected the correct employee and the retirement system is correct. Complete the information that needs to be corrected and click on the "Validate" Button to check any messages.
- Click on "OK".
- When all corrections have been entered, click on the "Close" Button
- On the Edit/Create Work File window, click on the "Control Totals" Button to check if the amounts agree with your figures/check. Click on "Next," which takes you back to the Edit/Create Work File window.
- Select #4 – Finish, and click on “Next”
- In the Finish Work File window Select #2 - Post, and click on "Next
- From this point, transmit as normal

| How to Generate an YTD Report |

- Select #5 - Explore Information, and click " Next"
- Select #3 - Reports, and click "Next"
- Select #3 – Member, and click “Next”
- Choose the appropriate options
- Member Reports:
- This selects the criteria in which the employees will be listed on the report
- Include Plans:
- This allows you to select the systems you want to include on the report
- Select “Include YTD total”
- You have the option of creating a report for a previous fiscal year by using the arrow keys located right above the “Cancel” button with a red “X”
- Click "Next" when your selections are made.

| Importing a Payroll |

- Select #1 - Import, and click "Next"
- Click on the "Look-up" button next to Select Import File Name
- Click on the "Look-up" button in the Payroll Import File Name window
- Locate and select your import file that has been created by your payroll system
- The name of your import file and its location will appear at the “Set Payroll File Import Options”, and click “Next”
- At the “Importing to Make a New Work File” screen, this will show the start dates, end dates and the fiscal year, click “Next
- The Payroll Import Results screen will appear. This will show errors and warnings that may appear in your work file, click “Next”
- You have now created a Work File from your import file and have two options
- One: Select #2 Edit the file at this time
- Select #3 Edit
- Click on Select Data to find Work File, highlight and select, click “Next”
- Fix any errors and warnings
- Check control totals
- Select #4 Finish
- Select #2 Post
- Select #1 Transmit if you would like to transmit at this time or Select Cancel to return to the Main EMERS Wizard.
- Two: The Work File will remain in your Pending Status until it is deleted

| How to Get to the Member Summary Screen |

- Select #5 - Explore Information, and click "Next"
- Select #2 - Members, and click "Next"
- Select #1 - Edit, and click "Next."
- This brings you to the “Browse the Member File” screen
- Locate member by selecting the proper tab
- This takes you to the “Member Will Be Changed” screen, click on the “Annual Salary” tab
- Highlight the year you want and click on the “Payroll” tab
- The information provided will reflect everything remitted for your district for the selected fiscal year
- You can print this by clicking on the “Print” button.

| Adding Termination Dates to an Existing Work File |

- Select #2 Edit the Work File, click “Next”
- Select #2 Edit the Work File, click “Next"
- Find your existing batch selecting the “Look-up” button, click “Next”
- In “Browse the Work File” window locate member by selecting the proper tab
- Click on the “More General” tab
- On the “Record Will Be Changed” window, type in the Termination date
- This is the last working day, not the last payroll date
- Termination dates can be entered in a payroll work file when reporting the final payroll in EMERS for an employee
- Click on the “Terminate Member” button
- On the “Complete All Data to Terminate a Member” window,
- Input the annual base if one is missing
- Check the “Final Payroll Transaction for this Member” box, then click “OK”
- On the “Record Will Be Changed” window, click on “OK”
